The MANILA OBSERVATORY is a Jesuit scientific research institution with research work in the fields of atmospheric and earth science in the Philippines and the Southeast Asian region. It advocates a science-based approach to sustainable development and poverty reduction through its principal focus on the areas of climate change and disaster science.

Administrative Office: Facilities and Logistics Office (FLO)
Position: Head, FLO
Report to: Executive Director

 

TASK AND RESPONSIBILITIES:

 

I. Plan and oversee the implementation of the activities of the Facilities and Logistics Office:

  • Oversee facilities maintenance; anticipate requirements of scheduled as well as unscheduled activities, and resolve issues as they arise
  • Conduct periodic reports on expenditures and use of supplies and materials by MO offices
  • Track all maintenance agreements and arrange for service when needed on all office equipment, and leakage and building/equipment maintenance

II. Lead and coordinate the procurement, canvassing, and delivery of goods and services for the Observatory:

  • Oversee inventory and purchasing of supplies and equipment
  • Ensure that guarantees and provisions of vendor’s contracts are utilized and maximized
  • Ensure that services delivered by service providers are according to performance standards stated in the contract
  • Work with Finance and Accounting to ensure up-to-date insurance coverage

III.   Responsible for facilities/ property/ security management:

  • Supervise building use, security, and maintenance, including pest control
  • Monitor status of building occupants, including proper use and maintenance, payments for utilities, and other shared services including the grounds maintenance and cleaning schedule
  • Liaise with Ateneo de Manila University and other building occupants to maintain security, cleanliness, safety, and efficiency of the building and building systems
  • Conduct fire safety and earthquake readiness drills, as well as emergency safety procedures (i.e bomb threat, etc) for staff and building occupants as needed
  • Ensure compliance to public policies
  • Prepare needed reports and documents
IV.  Oversee the provision of the information and telephone assistance, maintenance/ janitorial, and grounds maintenance services.

QUALIFICATIONS

  • Bachelor’s degree (preferably in Architecture or Engineering)
  • At least three (3) years of exposure on building/property management/administration that covers people and financial management, purchasing skills, dealing with service providers, and implementation of policies and compliance with laws and regulations
  • With knowledge, skills, and abilities in quality perspective, and critical thinking and problem solving
  • Must possess good interpersonal skills, leadership qualities, and effective communication skills
  • Proficient in oral and written communication
